PST Files Why Worry? I moved to Office 365 by Aravindan Anandan, Consulting Systems Engineer, Asia Pacific, Barracuda Networks
If the migration to Office 365 realizes else, it should simplify the management of mail corporate e. We believe this change is the perfect opportunity to address and eliminate the problems caused by the PST files in your environment.
Let us remember what a PST file. The acronym stands for Personal Storage Table, the file is typically created by users when there is not enough space allocated to them on their mail server, they create a local shop on their own PCs (PST) which contains their historical email data along with attachments, contacts and calendar event information.
as far ago as 2010 Microsoft has started to provide means to move away from creating PST files, they did as there are many inherent problems have email archived in PSTs .
· PST files can become incredibly large and when they do, they are prone to corruption which means that the data unrecoverable.
· Because they are stored locally on the user's PC usually they are not saved, and can ask questions of compliance and recovery.
· As users and their PCs are not stable, then the monitoring PSTs can be incredibly difficult. This poses other challenges, including security issues and the ownership of PSTs data
· Apply the policy email retention is almost impossible to run if the mail is contained in PSTs.
· Even locate all PST files can be a problem
All these questions can actually have an impact on moving your Office 365 email
If PSTs were unmanaged, it can be very difficult to achieve a successful migration. Consider some of the points above. Unmanaged PSTs could lead to unnecessary data migrated to Office 365 or some data being completely missed during migration. Even the ingestion of data from multiple PST files into a new Office 365 environment can be painful.
At Barracuda, we still consider a transition to Office 365 as a great opportunity. It is a chance to regain full control of the PST succession and eventually eliminate PSTs permanently from your IT strategy.
To migrate email effectively, it is important that a plan of PSTs is conducted.
Locate all PST
evaluate and analyze the content of each PST
Establish the owners of "unclaimed" or "lost" PST
files Review the requirements of legal retention and apply
Migrate PST files and ingest the relevant and necessary content in office 365
Finally eliminate PST files preventing them from being used again
in my own experience of companies who ignore this advice before attempting a migration are likely to hit problems.
Barracuda archiving solutions can automate this process, making a secure yet transparent migration. From my point of view I take great satisfaction that we greatly help our customers to make a much smoother transition to Office 365 and at the same time, we solve genuine respect, efficiency and the security problem in the process.
